The Customer Service Representative at Steffes Group, Inc.
is designed as a hybrid position, providing the flexibility to work from home while also requiring on-site presence to support auction events at our Larchwood, IA site as they occur.
The focus of this role will be to provide administrative support to both our clients & our sales team while managing day-to-day office tasks.
This person will also oversee the collection and distribution of clean titles from sellers to buyers and maintain consistent communication regarding any missing or illegitimate titles as needed to execute a successful auction sale.
This role will report directly to the Director of Administration.
RESPONSIBILITIES Post auction equipment & other items online at appropriate times, writing a detailed description outlining all key information to potential buyers Answer phone inquiries, direct calls, and provide basic company information to past, present, and future clients & customers Generate auction invoices & work with buyers to arrange payments for purchased auction items Facilitate ACH & credit card payments over the phone & in-person Assist with typing, proofing, and formatting equipment appraisals as needed Communicate closely with Sales Representatives to obtain title information for auction assets - including physical copies of the titles, additional supporting documents for titles (including 2290 copies), letters testamentary, damage disclosures, and copies of trust paperwork Work within state resources to confirm that obtained title is the most recent title issued, and communicate if updated title work is needed Confirm titles are in the name of the seller or that seller has obtained authority to sign off on title Use title information to verify accurate description is being used for listing of titled auction items Perform administrative tasks including, but not limited to, maintaining & organizing files & documents, photocopying, and emailing as required Provide customer service to all walk-in traffic while working on-site Work closely with the sales team to ensure a smooth auction process, from start to finish JOB REQUIREMENTS Strong interpersonal & professional communication skills, including excellent command of grammar, spelling, and technical composition High degree of confidentiality & trustworthiness Ability to work under tight deadlines, using strong organizational skills with priority & workflow management Outstanding customer service skills, both in-person & over the phone Ability to work both independently & closely with a team over multiple departments Willingness to assist in additional tasks as needed SKILL REQUIREMENTS Proficient in Microsoft Office Suite (Word, Excel, and PowerPoint) Strong working computer knowledge and ability to navigate several platforms simultaneously Ability to multitask as needed, while prioritizing which tasks need to be done first COMPENSATION & HOURS At Steffes Group, we credit our success to each individual employee and the dedication and value they bring to our team.
